GENERAL INFORMATION

All presenters will need to register at the registration desk when they first arrive at the Congress venue to collect their name badge, other related materials and details of poster exhibition.

GUIDELINES FOR ORAL PRESENTERS

Presentation
Oral presentations will be 20 minutes long and consist of a 15-minute talk followed by a 5-minute discussion.
To ensure the good quality of your speech, keep it simple, and focus only on the major points. Cover the same material as reported in the abstract. Give an opening statement to acquaint the audience with the nature and purpose of the study.
Briefly describe methods and material. Allocate most of the presentation time to the results of the study. State the results simply and clearly so that significant facts can be readily identified.
Conclude the presentation with a brief summary of the essential results you believe were demonstrated by the data.

Oral Presentation Format
Only PowerPoint presentations on CD-ROM and USB Memory cards will be accepted. If your presentation contains a video or an audio file, please bring to the Conference all files (audio, video, codec). Any other arrangement won´t be accepted.
You have the option to email your presentation to the congress secretariat at secretariat@euroepi2009.org, at least 1 week prior to the Congress, so that there are no last minute difficulties. Please DO NOT e-mail your presentation the week of the Congress! It must be received the Thursday before the Congress, at the latest.
Otherwise oral presentations will be downloaded during your registration at the registration desk.
Please bring your presentation on a CD-ROM or memory stick as well even if you email it to the secretariat.

Speaker Ready Room
A Speaker Ready Room will be available at the Congress venue on:
Thursday, August 27: 9.00 – 18.00
Friday, August 28: 9.00 – 18.00
Saturday, August 29:9.00 – 13.00
Technical staff will be at your disposal there at that time.

Facilities
Technical equipment available will include an overhead projector and a computer projector Microsoft Windows XP operating system and Microsoft Office 2003 with the possibility of converting Microsoft Office 2007 files. Presenters will not be allowed to use their own computers because of the time taken to switch between computers during the session.
Each presenter will be provided with a pointer.
Any additional technical equipment should be requested at least two weeks in advance of the presentation.

GUIDELINES FOR POSTER PRESENTERS

Location
Poster boards will be located in Poster Exhibition area at the Congress venue. The list of posters and allocated numbers will be available in the exhibition area. Please ensure that your poster is displayed on the correct poster board. Do not place your poster in an alternate location.
 
Poster size and display
The poster size is maximum 120 cm of height and 90 cm of width.
Poster sessions will take place on Thursday, 27 August and Friday, 28 August between 16.30 – 17.30. Posters may be mounted on the board from 8.00 on the day when your poster session is scheduled. You are expected to attend the whole designated session to discuss your work. There are not short systematic presentations planned.
Posters must be removed by 18:00 on that day. Please note that the organizers cannot take the responsibility for the posters not removed.
Tacks and technical equipment will be available for the hanging of posters.
 
General advice for participants who have not previously presented a poster

  • The poster is supposed to be readable from a distance of 1.5-2 m. The text should definitely be no less than 5 mm for capitals and tall letters, and preferably larger. Use a constant font throughout the poster.
  • The message that your poster contains should be clear and understandable without the requirement of oral explanation. Don't overload your poster. Remember, you are not writing an article.
  • Handouts can be very useful, however please note that these cannot be placed on the floor for safety reasons. If you wish to supply handouts you must provide a holder that can be attached to your board.
  • After the title, the two most important panels are the Introduction and the Conclusion. On the basis of these two panels, a reader will decide whether to consider the poster details and perhaps talk to the presenter. These panels need to be very simple, concise and visually attractive.
  • Results should be presented graphically if possible. Avoid large tables of data. Results should be in line with those originally submitted in your abstract. Use pictures, symbols and colour. Figure legends are essential and should be short but informative. Each graph should have a short heading. For visual effect, we recommend that graphs should be no smaller than 12cm x 18cm.
